New case management system claims to give fee earners up to an hour a day back in lost billing time

A newly launched case management system will aim to recover over three quarters of a million pounds in billable capacity for a typical high street practice, say its creators. The technology integrates artificial intelligence and a single sign-on platform which they say will save an hour a day for fee earners.

The claim has been made by Access Legal as the company launches CaseMatters Evo, a “new model of case management software.” The company estimates the software, which also incorporates access to automated document generation, centralised communication (including Microsoft Outlook) and client and third party portals, could see a 20-person firm return an hour a day of lost admin time to fee earners.

Andrew Stevens, general manager at Access Legal, said:

Traditional CMS platforms were built for a different era. They record activity but do little to help firms deal with rising caseloads, fixed-fee pressure or growing regulatory demands. That gap has become a real operational risk. CaseMatters Evo is our response to that shift: a next-gen, AI-powered performance engine designed to power beyond traditional case management. This means not just moving cases forward but strengthening how the whole practice operates.”

The system also has embedded compliance steps and dashboards to highlight progress, bottlenecks and risk, Stevens said, which add a consolidated approach to replace “fragmented systems and inconsistent workflows that erode fee-earning capacity in many firms today.”

“Sitting within the Access Evo platform, firms can access a range of broader services, such as payroll or learning, allowing them to run their entire business from one place,” he added.

The Access Group has embarked on a series of acquisitions in recent years, including the legal case management software Proclaim and, most recently, the mobile phone app inCase.

The new software preserves existing Proclaim customisations already made by firms while enabling new configuration options, smoothing transition to the new platform, Access said.

Access Legal has described the launch of CaseMatters Evo as being “informed by more than 30 years of legal expertise.” The software is delivered through a browser and hosted on the cloud, with AI “embedded directly into everyday workflows (cutting tasks from 15 minutes to under one), supporting task prioritisation, time capture, instant summarising of documents, risk checks and reporting, rather than being added as a bolt-on tool.”

Emma de Sousa, group managing Director, Access Legal & Access Recruitment, concluded

“Leaders tell us the real challenge now is running a firm that’s predictable, scalable and safe under growing pressure. CaseMatters Evo is built for that reality. It gives firms the clarity and control they need to operate confidently as the market shifts, in one powerful platform, supercharged with AI-native intelligence, unifying multiple systems and removing unnecessary clicks from fee earners’ daily routine.”
